Introduction
Import via templates is provided for those cases when the exchange with the accounting system is not configured via an FTP server.
There are two types of templates for importing data:
- Through the Settings > Import Excel File,
- Through the Directories, using the Excel button.
For example, if you download a template from the Import Excel File section, then it should be imported from that page.
However, if you have downloaded and filled out a template from the directory (for example, SKUs), then you also need to import it from that directory page.
Import Excel File via the Settings
In order to import data into the database, you need to download and fill out a template.
The list of available common templates is presented by clicking on the List of templates in Excel format button:

If you are a new employee who has been assigned this case, contact the technical support service for advice.
Downloading Template
To fill in the template with data, you must first download it.
You can download as one template only the object in which the data needs to be changed (for example, the Outlets template for change only Retail Outlets data in system).
You can also download all connected templates in one file at once (the button at the bottom Download all in one file).
In the latter case, the templates will be divided into sheets in the file.
You can scroll through the list of all templates by clicking on the arrow at the bottom left.
A template is selected to fill in by clicking on its name in the list of sheets.
Filling Template
When filling out the template, you should pay attention to the following things:
- The mandatory columns are highlighted in green.
- If the label in the green column is yellow, then the values in the column must be unique (that is, not repeated within this template).
Example: If you fill in a code from 1 to 30 in a template with retail outlets, and make the same for SKUs, these codes will be unique within their template. - Optional columns are marked in white.
In templates that have a postscript in the name (with deleted) there is a column Mark for deletion (0 / 1).
If you upload data without the purpose of marking them for deletion, then you can not fill in this column, the system will assume that it automatically has 0.
If you want to mark a part of the data in the template for deletion, then opposite the entries in the column Mark for deletion (0 / 1) set 1.
The figure below shows an example of retail outlets that are marked for deletion (highlighted with a red frame), these are retail outlets with codes 1 and 3.
Importing a template with data
- To import a filled Excel file, click Select File.
- After that, specify the path to the file in Explorer, and click Open.
- You will see the name of the selected template to import.
- After the initial processing of the Excel file, the objects for which you are uploading information will be displayed on the page.
- When you click the Import button, the process of uploading data to ST-Mobi.com will begin.
- After successful import, the status of import Not processed will change to Completed, otherwise it will be Error.
The template is sensitive to extra characters and strings.
Also check if all the objects referenced in the template have been uploaded to the system, and if the codes for the objects are correct.
For example, if you import SKUs and specify which groups they belong to, you need to check whether all SKUs Groups are loaded.
If you import Territory through the template - whether the employee codes are correct, whether all the outlets are loaded into the system that you refer to in this template.
Features
- All entities must be loaded separately.
For example, if it is necessary to divide outlets by types of outlets:- first you need to load a template with the types,
- then, in the template with the outlets, specify the loaded types,
- and then import the template.
- When importing goods, the Price column is optional, but this is relevant for loading goods only for merchandising!
- SKUs Groups can be nested!
To specify a parent group in the template, you must specify its code opposite the desired group.
Import Excel File via the Directories
Available in directories:
Available in management:
Downloading Template
To import in this way, you need to open the necessary directory, click the Excel button in the upper left corner.
The following options will become available:
- Export almost all outputed data from the page to an Excel file.
- Export an empty Excel template, for its further filling and uploading to ST-Mobi.com.
- Export a template with the available data as an Excel template.
Only the data that is displayed on the screen and gets filtered by columns is exported.
This function is convenient to use for editing already uploaded data. - Import from Excel template.
In addition to the standard ones, these can be columns with classifiers and additional attributes.
Thus, through the template, you can quickly and easily fill in the classifiers and additional attributes with the necessary values and upload them to the system.
Filling Template
After exporting the template, you can open it and fill in the necessary data according to the columns specified in the template.
In the template, the columns are marked with the following colors:
- Red - the columns are mandatory.
- Yellow - the columns are interdependent.
If one of them is filled in, the other must be filled in (for example, the columns type and type code). - White - the columns are optional.
Importing a template with data
Data is imported via the Excel button - you need to select Import from Excel template.
The following steps are similar to those that are considered when importing data through the Settings > Import Excel File.
Features
- You can import all the information on the directories at once.
For example, SKUs with SKUs Groups at once, or Outlets with Types of outlets (see the image above). - Using a template from the directory, you can immediately fill in the values of additional attributes and classifiers for SKUs or Retail Outlets.
Importing Visit Plans
Downloading Template
Import of visit plans is available through the Routes functionality > The plan of visits.
To download the template, click on the Excel button at the top of the screen.
The following options will become available:
- Export data to an Excel file with groupings by employees and weeks
- Export data to an Excel file in a flat format, broken down by time.
- Export an empty template for filling in and further import.
- Export a template with plans data.
- Import data from a template.
Filling Template
In this article, we will consider paragraphs 3, 4, 5 from the screenshot above, because they relate to data loading.
After downloading the template through points 3 and 4, you will need to specify the visits correctly.
Therefore, when drawing up a visit plan through a template, be sure to make sure that the entire plan for the employee for whom you upload it is specified in this file.
This happens through the affixing of the codes of the outlets that the agents will need to visit.
At each point of sale, you must specify the code of the mobile employee who will visit it.
Filling should start with it, and not with the next line.
The visit plan can be divided into 4 weeks as much as possible (and 6 weeks for use with ST-Mobile Trade version 4.6 and higher).
You need to fill in only those weeks that you need to upload.
The weeks themselves are divided by days of the week, from Monday to Sunday.
Visits are planning by putting a number other than zero in front of the point of sale.
The value of the figure is the order of the employee's visit to the outlet on that day.
One point of sale in one day can be visited according to the plan only once.
An example of a filled visit plan for mobile employees is shown below.
First employee has completed visits on Monday of the first week (green cells).
Second employee has Tuesday of the first week (blue cells).
The order of visiting retail outlets is set by numeric values from 1.
