Introduction

Functionality of forming visit plans is intended for drawing up the order of agents visits to retail outlets during specific days of the working period or one-time additional visits.
Working period involves a multi-week cycle and can be from one to six weeks for ST-Mobile Trade version 4.5.1 and higher.
Number of weeks in a multi-week route is set in the company settings (for all employees) or in the employee card (for individual settings).

Sometimes during integration ST-Mobi.com and ERP employee visit plans are exported from the ERP in a ready-made form.
In this case, changing the visit plans in the office part ST-Mobi.com blocked, all changes to the visit plans must occur on the ERP side.

Visualization of clients assigned to the plan

On the left is a list of visiting employees (1).
Each employee is automatically assigned a certain color, which is used to paint over the outlets (already added to the plans) on the map on the right.
On the map, using the Group button (2), you can configure the type of display of retail outlets on the map (as a group/ separately).
Using the button  the map type is selected (3).
At the top there are buttons Update, Filter by organizational structure and operations for downloading / uploading Excel files (4).

If you don't see the right employee in the list on the left, it means that he has no Mobile Login under Administration > Accounts.
If you do not have such a menu section, contact your system administrator or technical support.

On this screen, you can view the clients already assigned to the visit plan for both one employee and several.
To highlight the visit plans of several employees, hold down the "Ctrl" button on the keyboard and select the necessary agents from the area with the left mouse button.
In addition, it is possible to select only with the mouse, for this you need to hold down the Left Mouse Button within the area and circle the frame that appears with the field employees of interest.

Export to Excel with groupings data

Exporting information about the visit plans of all employees to an Excel file, broken down by cycle weeks and days of the week.
The information is grouped by employees by means of MS Excel.

Exporting information about visit plans of all employees to an Excel file in the form of a flat table showing visit plans broken down by cycle weeks and days of the week.

Exporting to Excel an empty template file

Exporting in Excel format an empty template of visit plans that can be filled in and imported.

Important: if you fill out this template, the very first line of data should be line 4 in the template - it is circled in it for example, and zeros are put in the days of the visit as stubs, which you can already replace with the serial numbers of the Outlet in the plan.

Grouping of retail outlets on the map into clusters

The ability to enable and disable grouping of markers of retail outlets on the map in a cluster.
The cluster on the map looks like this:

Where the number in the center indicates the number of outlets grouped into a cluster.
The color along the contour of the cluster reflects the ratio of outlets of different employees in the cluster.
When the map is approached, the cluster may break up into several smaller clusters, taking into account the proximity of its retail outlets to each other.

Editing calendar of plans

To create or edit a daily visit plan, click on the pencil symbol to the left of the name.
On the screen that opens at the top are the weeks of the working cycle (1).
Green corner marks the current week.
Below are the days of the week (2).
At the very bottom there are four elements (3) that relate to the corresponding days of the week:

     - Indicator of the number of visits scheduled for the day.
     - Plan editing button.
     - Button for copying the plan from one day of the week to another, can be copied between employees and different weeks.
     - Button for clearing the visit plan for the selected day.

Adding clients to Plans

When you click on the button  a modal window for selecting outlets in the selected day of the work cycle will open.

Clicking anywhere in the customer's line adds a point of sale to the plan.

Quick filtering of outlets

At the top of the screen there is a quick customer search field that instantly filters records as you type.
The search can be carried out by any details of the point of sale (code, name, address, type).

Detailed filtering of outlets

For more accurate and detailed filtering of outlets, it is necessary to use the context menu of the data column of interest.

Copying plans

To copy the visit plan from one day of the week to another day of any employee, click  and choose from which week/day to which week/day the copy will be performed.
Also, outlets can be copied from one day to another day by simply dragging the mouse while holding down the Ctrl key on the keyboard. 
If Ctrl was not pressed, the point of sale will not be copied, but transferred from one day to another.

Deleting Plans

To remove outlets from the plan, click on the button  within the framework of the day of interest.
A confirmation request will appear on the window that appears.

Displaying calendar of plans on map

To switch the display of data from the calendar to the map, click Map as the viewing mode.

Map of the selected employee's visit plan for the selected week will be displayed on the screen that appears.

Editing plan for selected day

To create or edit a visit plan for specific days of the work cycle, click on the inscription with the name of the day of the week in the calendar of the plan.

In the window that opens on the right there is a map on which the following are displayed:

  •   - the starting and ending points of the agent's working day, if the agent has base coordinates in the employee settings,
  •  -retail outlets in order,
     - route "by air",
  •  - route "by roads",
  •  - route length by road,
  •  - route display mode control (enable, disable).

On left is a list of outlets and the order of their detour.
Order can be changed by dragging the outlets with the mouse.
In list of outlets, three icons are displayed opposite each outlet:

  • - removing a point of sale from an employee's territory,
  •  - opening a point of sale card in a modal window,
  • or- the status of the recognition of the coordinates of the point of sale, where the green color - the coordinates are recognized, and the red color - it is necessary to perform recognition.

Route optimization

Automatic calculation of the optimal way to bypass customers within the selected day.
After the calculation, the system will display the changed route length and the new order of outlets.

If you have edited or optimized the visit plan on this page, the changes must be saved!
Otherwise, all the changes made will be reset when you go to the previous page of editing the weekly visit plan.

Saving changes

After the completion of operations with the employee's visit plan, it is necessary to save the changes using the appropriate button.

Additional visits

Sometimes there are situations when it is necessary to create a one-time scheduled visit to a client or regular visits that do not fit into 4 week work cycles (for example, once every 45 days).
To solve this problem, there is a visit planning section Additional visits, available when clicking on the button .

Filtering of outlets

Ability to highlight in the list of plans for additional visits those plans in which the desired clients participate.
Search is performed as you enter the name or address of the point.

Creating and editing an additional visit plan

To create a new plan for additional visits, click on
To view and edit the plan of additional sessions, click on the button  in the general list of plans.

After selecting the outlets to visit, specifying the name and frequency, you need to click  at the bottom of the modal window for creating/editing an additional plan. visits so that the changes are preserved.

Displaying additional visits in the calendar of plans

Additional visits added via the web interface or downloaded from the ERP are displayed in the general calendar of plans.
Additional (irregular) visits are displayed in gray.
It is impossible to edit the day of an additional visit or delete it while on the calendar screen of scheduled visits, for this you need to use the Additional Visits tab.
