Introduction
As part of the functionality, field staff can make phone visits without actually visiting clients with only 3 types of documents:
- Order,
- Return,
- Cash Receipt Order.
All other operations in the mobile application are available only when making an actual visit to the client.
The setting allows field employees to legally not visit points by calling them by phone and processing documents in the mobile application.
It is important for us to make sure that you understand the consequences and really want to give field staff this opportunity.
Visit by phone in the mobile app
Execution of the document outside the visit
- To process documents during a visit by phone, the employee in the mobile application needs to select the client for whom the document will be issued outside the visit by clicking (as with a normal visit).
- Further, in the operations on the route, the employee will see that despite the fact that the visit to the outlet has not been started, the documents highlighted in color are available to him for registration (in the image below these are documents: Order, Return, Cash Receipt Order).
3. To start processing a document, you need to select it by clicking.
4. Next, an information window will be displayed informing you that the document will be issued outside the visit.
To process the document by phone, select Continue.
5. The document editing window opens, the document itself is filled in as standard, without any changes in the registration procedure.
6. After saving the document, the phone visit will be considered completed.
Phone visit in the office part
Documents collected during phone visits are considered ordinary documents in the system and participate in reports (eg Analytics, Sales, Orders).
However, the visits themselves will be marked with a separate type of visit: a visit by phone.
Such visits are not included in the report Worktime indicators (where scheduled and actual visits are counted).
Event Feed
In the Events Feed, a visit by phone will be marked with a separate type of visit with a handset sign .
GPS / Trips
In the GPS / Trips, a visits by phone are highlighted in orange and signed as a phone visit.
Each document processed to a point of sale without of a visit is considered a separate visit by phone.
Report: Plan / Fact of visits
Each document processed without of the visit will be shown in the Report: Plan / Fact of Visits as a separate visit with the type of visit by phone.
The image below shows an example of two phone visits to one point of sale, where the order and refund documents were processed.
Report: Agent's Working Day
In the Report: Agent's Working Days, by selecting an employee / date /point of sale, you can view information whether it was a regular visit or a visit by phone.
If the visit was over the phone, the time of the visit will be marked in the operations as follows:
- By phone, begin.
- By phone, end.
