Accounts

Introduction

Accounts are an interface for providing access to the system to office employees (managers, supervisors, operators, etc.) and field staff.

If your account is not a system administrator or does not have a role in which access to accounts is set, this section will not be visible.

Accounts in ST-Mobi.com they are divided into three categories:

  • Mobile employees - accounts for connecting from mobile devices.
  • Office employees - accounts for authorization in the office part.
  • Guests - accounts registered in another Cloud and to which you have granted access to your Cloud.

You can switch between categories using the drop-down list at the top of the page:

The office account will not be able to log in to the mobile application, and the mobile account in the office application.

Mobile employees

Creating a mobile employee account

You can create an account for field staff only by uploading information about the right employee to the Employees directory from the Accounting System or Excel.
Step 1. Creating
To create a new account, click Add a new entry .


Step 2. Employee Selection
In the pop-up window called by the button Open  or by clicking on the employee selection field, you need to specify the employee for whom the account is being created.
The list of available employees is determined by the Employees directory - only those for whom no accounts have been created yet are displayed here.
When you enter part of the name in the search bar, the system will prompt you to choose the most appropriate option.

Step 3. Phone Number
The phone number is used for authorization in the ST Mobile Trading application version 4.5 and higher.
When you click on the word why, a pop-up window with an appropriate explanation is displayed.

Step 4. Login
After selecting the employee for whom the account is being created, you need to assign a login that the employee will enter in the mobile application.
The login can be filled in manually by entering the desired value or automatically by clicking on Add button

The login of a mobile employee can consist only of digits.

Step 5. Password
Now you need to set a password for the account, which the employee will enter in the mobile application.
The password can be filled in manually or generated automatically by clicking on the Generate button 

Step 6. License Assignment
The license selection window is also called by a button with a colon or by clicking on the license field, the necessary license for the created employee is selected in it, the choice is confirmed by the Select button.

Step 7. Linking the mobile employee account and the administrator
Select whether to link the employee account and the administrator account.

Step 8. Saving
After all the actions are completed, you need to save the account by clicking on the button Save .
The created login and password must be transferred to the specialist responsible for setting up mobile devices.
The initial setup of the mobile application is carried out according to the instructions.

Editing a mobile employee account

To edit an account, click on Edit  opposite the entry of interest.
In the window that appears, you can change the employee associated with the account, login and password for authorization, as well as see the start date of the activity of this account.

Deleting a mobile employee account

To delete an account, click on Delete opposite the entry of interest.
Please note, the account is permanently deleted!

Getting ST-Mobile Trade Activation Code

The Mobile Trading application, starting from version 4.5, is activated by the employee's phone number.
If for some reason an employee cannot receive an activation code on his phone, this code can be received in the employee account window.
To get the code, open the account editing window and to the right of the phone number after the question Difficulties in obtaining the installation code by SMS? click on the link Duplicate it to the cabinet.

Clicking on the link will open a window in which the code for activating the mobile application of this employee will be displayed.

Data Exchange Logs

For each route that has downloaded the full database at least once or exchanged data, the exchange history is saved.
It is available by the button Open Logs  in the route line.

The exchange log is a table with a list of transactions performed, sorted by date from new to old by default.

Downloading content

The formation of an archive containing the ST Mobile Trade database obtained at full load, or casts with database changes formed during the exchange, in db3 format.
Please note that getting the archive is available for any operation, but physically the exchange data is stored on the server for no more than seven days.
So downloading the contents of an older operation will give an empty archive.

Viewing a single operation

Using the button Open Modal  in the operation line, you can view the log of the operation itself, which lists all the objects sent to or received from ST Mobile Trade during the loading of the full database or the exchange of changes.
This log contains purely technical information that may be of interest for estimating the volume of data transmitted to ST Mobile Trade or estimating the duration of these operations.

In the window of this log, there are the same additional features - searching by table contents, filtering by columns, exporting to Excel.
The download function allows you to download an archive with the database files of the viewed operation in the same way as it happens from the operation log.

Office employees

The list of accounts for office staff is as follows:

Creating an office employee account

Step 1. Creating
To create a new account, click Add a new entry .

Step 2. Full name
On the form that appears, you need to fill in the user's full name.

Step 3. Login
To authorize a user in the system, it is necessary to specify his valid email address.
With this address, the user will be able to restore or change the password in the future.

Step 4. Password
Now you need to set a password for the account that the employee will enter during authorization in the cabinet.
The password can be filled in manually or generated automatically by clicking on Generate button

Password Complexity Requirements: At least 6 characters, with at least one digit, uppercase and lowercase letters, Latin only, without spaces and the & sign.

Step 5. Assigning a Role
Select the appropriate role for this employee.
Roles for office employees are created in Settings > Roles.
This is described in more detail in the Role documentation article.

Step 6. Saving
After all the actions are completed, you need to save the account by clicking on the button Save .
The created username and password, as well as a link to ST-Mobi.com , must be passed to the employee.
It is also recommended to send a link to the instructions for an initial study of the system's capabilities.

Editing an office employee's account

To edit an account, click on Edit  opposite the entry of interest.
In the window that appears, you can change the employee's full name, login and password for authorization, as well as see the start date of the activity of this account.

To delete an account, click on Delete opposite the entry of interest.

Guests 

The functionality of guest accounts allows you to provide temporary or permanent access to your Cloud to an office user registered in another Cloud ST-Mobi.com .

This can be useful if you have several branches and each works in its own Cloud, and your administrator needs access to all of them.
Then it is enough for him to be registered in one database, and guest access can be granted to others, where he can be given a role with access to all the necessary sections of the service.
Another case where this function can be useful is the organization of access to your Cloud for a partner engaged in supporting your company.

To go to the list of guest accounts, the same drop-down list is used on the top panel of the page, and the section looks like this:

Creating a Guest account

To add a new guest account, use the button Add , clicking on it opens a search window for the user account to which you want to grant guest access:

Here you need to enter the user's username and press the search button or Enter on the keyboard.
If the user with the entered username is not registered in the entire service ST-Mobi.com, you will receive a message about it.
If you try to add a user who is already registered in this cloud, the system will also notify you. 
If the specified user is found and registered in another database, the process of granting guest access will continue and the input window will expand.
To display information about the found user - login, name, company in which he is registered and the company's database number:

At this stage, you can make sure that this is really the user that you need, and select a guest role for him by clicking on the roles line or on the button with a colon.

pay_attention
If the role for the guest account is not selected, the user will not get access to any section of your Cloud, after logging in, he will be met with an error stating that there is no role.
This is an important point for regulating guest access rights.

If necessary, you can enable temporary access - after the expiration of the granted access period, the guest user will not be able to log into your Cloud.
To do this, check the "Temporary access" box and specify the start and end dates of the access.
When everything is ready, the guest account can be saved using the button Save 
.

Editing a Guest account

To edit an account, use the button Edit  opposite the entry of interest.
In the editing window, you can change the role of the guest account, change the terms of access activity or revoke access using the appropriate switch:

Deleting a Guest account

To delete an account, click on Delete opposite the entry of interest.
Please note, the account is permanently deleted!

Login with a guest account

After you have registered an account in your Cloud for guest access of a user from another database, he will be able to exercise his right to log in as follows:

  1. Login into his Cloud,
  2. Click on the company name in the menu under your name,
  3. The drop-down list will show a list of available databases to which he has guest access.

To enter another database, just click on it in the list.

The content of the file varies depending on the selected account section - mobile or office employees.
