Introduction

Functionality of setting sales plans is designed to indicate the sales targets of subordinate sales representatives to customers.
At the moment, the system allows you to set planned values in the context of customers and shipment amounts for selected employees. 
Minimum allowable planning period is a calendar month.

By default, the appearance of the list of sales plans available in the system looks like this:

Attributes of the sales plan list

Name

Name for the sales plan.

Active from

Beginning of the sales plan activity period.
Outside of the activity period, data on customer shipments does not fall into this plan.

Active to

End of the sales plan activity period.
Outside of the activity period, data on customer shipments does not fall into this plan.

Description

Free text description filled in by the responsible person when creating a sales plan.

Responsible

Office employee responsible for controlling the sales plan.
If an office employee is specified and the organizational structure is enabled, the plan is visible only to the selected employee and his management.

Amount

Total amount of planning for all employees and clients invested in the selected plan.

View 

If the period of activity of the sales plan has ended or has already begun (last or current month), then the information can only be viewed.
The change, in this case, is prohibited.

Edit 

Making changes to the existing sales plan.
Editing is only possible for sales plans whose period of activity has not yet come (future months).

Copy 

Creating a new sales plan based on an existing one.
In the case of creating a plan through copying, the interface has additional data on the plan and the fact for the previous period.

Remove 

A note about deleting the sales plan.
Viewing the records marked for deletion and restoring them is possible by pressing the button .

Options for displaying the amounts of all displayed sales plans for the selected period in the lower border of the window.

Creating new plan

To proceed to the process of creating a new sales plan, click  on the list of plans screen.

General information

After switching to creating a new plan, the information on the General Information tab will be displayed on the screen:

  • Name, 
  • Period of activity,
  • Office employee responsible for the control,
  • Text description of the plan.

Filling out plan

After filling in the basic information on the plan being created, go to the Plan tab and start filling in the plan targets.

First step is to click on the button and determine which employees will participate in this plan.
Any number of field employees participating in it can be added to one plan.

After selecting employees, they should all be displayed in the list.
This means that everything is ready to select customers for each of them and specify planned sales amounts. 
To proceed to the selection of clients, click .

In the window that appears, it is necessary to select clients for the visiting employee, on which the sales plan will be determined.

Selection screen displays only those clients for whom the employee has a visit plan.
This is done in order to avoid a situation where a sales plan is set for a field employee, but the client is not in the detour plan and it is impossible to fulfill the plan.

In the selection of customers for the sales plan, the extended logic of the selection mechanics is implemented.
Outlets can be selected in the final list according to different logic.

After the customers are selected in the plan for the employee, it is necessary to proceed to setting the targets of the sales plan. 

There are several ways to do this:

  • For each point of sale, specify unique amount of the plan (the input is opened by double-clicking on the amount field).
  • Specify total amount of the sales plan for all points, the system will divide this amount automatically for all customers equally.
  • Specify total amount to be distributed by points, and then adjust some values manually for selected customers.

As the sales plan is filled in, the system will display information about the number of scheduled visits to the client from the selected employee for the selected report period.
As well as information about the planned order for each visit.
In the top row of employee totals, the amount of the plan for the employee at the moment of filling out the sales plan is displayed in real time.

Creating new plan based on data from previous one

Using the button  (copy) you can use the mechanism of creating a new plan based on the data of the previous one.
In this case, the system automatically fills in the new plan with data on the plan and sales facts from the copied plan.
In addition, the plan of the new period is set equal to the plan of the previous period, but it can be changed based on all the information presented on the screen.
This mode of working with new plans allows you to set more realistic plans, taking into account the strategy of your organization.

Viewing and editing plans

In the event that the period of activity of the sales plan has already begun or is over, it is not possible to make any changes to the plan.
Only data viewing is available.
On general list of plans, the view is displayed by the icon .

In the event that the sales plan has not yet started, the user can make any changes to it. 
Data editing is available.

Working with plans on mobile devices

For a field employee, there are several scenarios in which he can work with the set sales plans.

General plan for all clients

In order to get into the functionality of viewing all planned sales amounts for all the employee's clients, you need to open the side menu.
On the screen that appears, select the Sales Plan item.

If the user needs to filter the displayed list, it is necessary to use the menu 
On the screen that appears, select one of the presented options for working with the list.

A plan for a specific client

At the beginning of the visit to the client, the client card automatically opens, where the blue block (immediately below the accounts receivable block) displays information on sales plans for the selected client.
Displayed information:

  • Sales plan for selected client, 
  • Fact of sales under this plan, 
  • Forecast of execution at end of planning period,
  • Planned amount of order.

When switching to order collection, information on the amount of ordered goods and the planned amount of the visit is displayed in real time at the bottom of the screen.

Reporting on the implementation of plans

Report reflects information on the sales plans set, the plan and the fact of visits to customers, the fact of completed sales and forecasts of the execution of plans.
Data on the fact and forecast of sales in the report are generated based on Shipment documents and information on employee visit plans.
On first screen, you need to select the basic settings of report.

After defining basic settings, report can be built.
