Introduction

Questionnaires - functionality that allows you to conduct survey activities on any topic or collect information with reference to product items.
Each survey (Questionnaire template) consists of topics, which, in turn, consist of questions.
Various types of data can be used as answers to questions, such as text, numbers, date and time, logical answers, lists of options and photos.
The questionnaire template is a constructor that allows you to create a set of slices of the collected information.

Appearance of the list of Questionnaire Templates

By default, the appearance of the list of questionnaire templates available in the system looks like this:

Title

Description

NameName of the questionnaire template.

Description

Description of the purpose of data collection on the questionnaire.

View Mode

Mode of displaying the questionnaire in the mobile application (table or list).
Table is most often used to collect additional information with reference to commodity items, a list for any other information.

Active since

Begin of the activity period of the questionnaire template.
It is not possible to collect data on mobile devices outside of the activity period.

Active by

End of the period of activity of the questionnaire template.
It is not possible to collect data on mobile devices outside of the activity period.

One-timeIndication that the questionnaire template is disposable is set when creating the template.
AuthorName of the user who created the questionnaire template.

Copy / Clone 

Creating a new questionnaire template based on an existing one.

Edit 

Making changes to the existing questionnaire template.

Delete 

Note about deleting the questionnaire template.
Viewing the records marked for deletion and restoring them is possible by clicking the trash button ()

Creating new questionnaire template

To proceed to the creation of a new questionnaire template, based on which information will be collected in the mobile application, you need to click Add  on the template list screen.

General Template Settings

After clicking the button to create a new questionnaire template, a window with template parameters will open.
Settings window displays:

  • typical name,
  • period of activity,
  • outlets participating in data collection (by default, template applies to all records),
  • employees participating in data collection (by default, template applies to all records),
  • sign of one-time SHOL.

To change these settings, click on the edit button on the right .

Name

Name of the questionnaire template.

Description

Description of the purpose of the information collected or other nuances.
Description will be available to field staff as a separate item when studying the questionnaire.

Activity

Period of activity of the event.
It is not possible to collect data on mobile devices outside of the activity period.

View Mode

Mode of displaying the questionnaire on a mobile device:

  • list,
  • table.

Table is used most often to collect field information in a mode similar to the work of other documents in a mobile application.
In tabular mode, it is easiest to work with questions that are linked to commodity items.
In tabular mode, there is a nuance when displaying the specified topics of the questionnaire template!
Each topic is displayed as a separate column in the document. 

List is used to collect any other field information.
This mode is most suitable when conducting a field survey or collecting data that is not tied to commodity items.
In list mode, topics are displayed in the form of page titles that a field employee must flip through to move between topics.

One-time

Indicates that the questionnaire template is disposable.
After creating and filling out a questionnaire document using such a template, none of the field employees will no longer have the opportunity to create another questionnaire document using the same template at the same outlet!
This feature only works starting from ST-Mobile version 4.5 and higher.

After the fields described above, there will be a selection block in which you need to select customers and employees who will participate in collecting information on the template being created. 
If you do not select outlets or employees, the template will be available to all employees from all customers.

After filling in all the information, it is necessary to press the button 
This will close the editing block of the basic properties of the template.
After that, you need to add at least one topic and at least one question for that topic.

Adding theme to template

Theme is created to combine questions into logical groups, as well as visually separate questions on mobile devices.
To add a new topic to the questionnaire template, click Add theme , then enter the name of the topic in the window that appears.
There can be many topics containing different questions in one template.

Order of topics

It is used to change the order and display of topics in the questionnaire template.
To change the order, just hold down the left mouse button on the icon and drag the topic to the desired location.

Change Topic and Question fields size 

If there are a lot of questions in the topic, you can hide them from the display area by clicking on the icon.

Change Topic name

To change the name of the topic, click on the icon with the pencil symbol.
Editing is available at any time when working with the questionnaire template.


Delete Theme

Deleting a topic from the list of topics of the current questionnaire template.

Basic Question Settings

Questions are those data slices that need to be collected by field staff while filling out the Questionnaire document.
To add a new question to the topic, click Add question  and enter the name of the question in the window that appears.

Order questions

Copy / Clone questions

Mark question as editable

New questions when editing a topic are marked with an exclamation mark icon to reflect the list of questions created in the current session and to be edited before saving the topic.

Filling question attributes

Initially, the question is created with standard attributes, and in order to change them, you need to click the edit button next to the question.

Editing the question unfolds in the entire template creation window.

Question settings determine the behavior of the mobile application when collecting data in the question. 
Question attributes that can be set here:

Question text

Enter the question text as a string.

Question type

  • Optional - mobile application allows you to leave the answer blank.
  • Mandatory - mobile application does not allow you to save the questionnaire without answering the question.
  • Read-only - mobile application does not allow you to change the value of the response.

helpful_hint
Read-only question type in combination with the entered default value allows you to output reference information for an employee in the form of a non-editable answer to the question.

Attaching Photo

  • Photos not allowed - there is no way to attach a photo confirmation to answer.

  • Photo allowed - the ability to attach a photo confirmation to the answer (this rule does not apply to a question with Photo type).

Exception: Response type Barcode - when selecting Photo is not allowed, employee will be able to enter the data manually!

Question may involve entering answers in various data entry formats on mobile devices.

Be sure to assign Photo allowed in the Attach photo field.
You cannot set default value for this type of data entry.

Clicking on the cell opens the camera on the device.

Selection by SKUs

If data collected in the question is directly related to product items and should be collected in relation to them, it is necessary to select groups of nomenclature or items in the field of product selection.

If products are attached to the question through selection, the question will be displayed on the employee's device screen as a separate block to fill in!

After filling in all the information in the question, you need to click Apply 
After that, you can proceed to adding or changing another question, or save the template using the button Save .
Changes will be recorded in the questionnaire template and it will appear in the list.

Additional features of working with questionnaire in mobile application

During and after the employee fills in all the necessary fields of the Questionnaire (answers to questions), it is possible to use the context menu buttons  in the ST-Mobile Trade app:

Information

To display the description of the questionnaire, click "Information" in the context menu.

Comment

Ability to enter a general comment on filling out the Questionnaire in the mobile application.

Comment will be displayed in the sections:

  • Documents > Questionnaires Docs,

Source of default values

Employee chooses which source to use:
  • Standard - default values from question properties are used.
  • From previous survey at point of sale - answers are filled in automatically, based on previous survey of a mobile employee at this point of sale.
  • From agent's previous survey - responses are filled in automatically, based on previous survey of this employee.

Clear

Deleting all previously entered data in current session of filling out questionnaire.

Adjust width of the first column

Ability to expand/narrow width of first column with questionnaire questions by entering a numeric value (by default 40).

Editing questionnaire template

To switch to the edit mode of an existing questionnaire template, click Edit  in the general list of templates.

The basic template settings can be changed without any consequences:

  • name,
  • description,
  • display mode,
  • validity period,
  • binding to employees and customers.

Principle of operation of questionnaire functionality implies editing topics and adding new questions to template, but previously saved questions are not subject to editing
Changing the name of the template, its description, the names of topics and a list of new questions will be displayed on the employee's device after receiving the full database. 
Documents and Reports on questionnaires are generated based on the data received from employees' mobile devices.

helpful_hint
If you need to make additional slices to collect data in an existing and valid template, it is better to copy it and make all the changes in the new template!
After that, assign the start of the activity on the next day after the completion of the previous template.

Copying questionnaire template

Copying a template performs the operation of creating a new template with the transfer of settings, topics and questions from the selected one.
To copy the template, click Copy  in general list of templates.
When you click on the button, a new template for editing with the values of the parent template will be displayed on the screen.
