This guide is brief and does not reflect all the features of the system, but it allows you to understand the main principles of work and avoid mistakes of your more lazy colleagues.
Keep it in the glove compartment for the first time!
The whole instruction boils down to 9 simple steps that you should follow every day using our program.

Getting started with Mobile Application

When you launch the ST-Mobile Trade application, you will be offered with two options:

  1. Work on the route - work directly in the mobile application.
  2. Analysis and management - work in the office part. When clicked, a browser window will open ST-Mobi.com site.

Download Full Database

Calling a dialog form: > Exchange > Download full database

Every day, before starting work, it is necessary to make a full download of the database.
When performing this operation, up-to-date data about customers, the plan of visits for the day, tasks, goods (prices and stock balances), etc. will be uploaded to mobile device.

pay_attention
Downloading and obtaining a full database must be done every working morning, before going on the route!
Full database download deletes all documents that are not sent to the office that are on the tablet.
Don't forget to send the data, if there are any!

It is impossible to recover the missing documents after that.

Begin of Working Day

When you open the program and select Work on the route, you will always be taken to the Summary section.
The first thing to do when starting a new working day (after receiving the full database) - record the time of its start, which will be reflected in the reports of the management in the office.
The time is recording by pressing the button Get started.

Main Menu

You will perform many important operations in the system through the main menu.
From the main menu, the user gets to the main sections of the program - working with clients, reports, tasks, data exchange with the office, etc.
To open the main menu, click on the icon  in the upper left corner of the screen.

Visits plans and Employees territories

In Route tab, you will always see only your visit plan by default.
To display the visit plan for subordinate employees, you need to use the employee filter , which is located at the top of the screen.
When you click it, a window appears with a selection of employees.

After the employee is selected, he will appear on your Route tab.
Information will be shown on his visit plan, on activities in his outlets on the selected date.

All information from subordinate employees will come with data exchange.
In Territory tab, you see not only your clients, but also all the clients of your subordinate employees.

Begin of Visit to Customer at Point of Sale

All work with clients is carried out in Route section, it opens automatically after the start of the working day.
When you are ready to start a visit to a point of sale, find it in the list of customers, highlight it by clicking, and click Start a visit.
If you plan to visit a point of sale that is not in the route (the plan of visits for the day), you can select it on Territory tab.

It is recommended to start the visit in the program in an open space, about a minute before entering the premises of the outlet.
This will allow you to accurately determine your current coordinates and correctly display them to the management in the office, otherwise questions may arise about the correctness of the visit.

To visit a client who is in a subordinate employee's visit plan, you need to select him in the employee's visit plan and click Add visit to yourself.

If the client is on the stop list due to overdue accounts receivable, then create documents Order or It will not be possible to Ship from the board
Such outlets will be marked with stop list filter (example below) and if you still need to make an order or a sale, you need to contact your management to resolve the situation and remove the lock.

After the start of the visit, customer information is automatically opened in form of Point of Sale Card.
It displays information on the status of accounts receivable, sales plan, mutual settlements, customer details, etc.
If the customer has an overdue debt, it will be highlighted in red.
After reviewing the client's card, click the cross in the upper left corner to return to working with the point of sale.

Automatic opening of the point of sale card can be disabled in the application settings on the Settings > Reports > Outlets Information > Show at the start of work.

Order

When you click Start Visit button, operations at the selected point of sale will become available.
This means that you can create documents as part of a visit to this client.

To start placing an order, click on Order operation.

If, after opening the Order document, the system reports an error of data related to the correctness of the contract, it is urgently necessary to inform the management.
The reason for the situation that has arisen, most often, is an overdue or canceled contract with the client in ERP.
It is necessary to act according to the situation and the agreement with the management.

Next, you go to the document editing form.
You can use the filter to select the desired product groups (button ), or find it in the search by name or article (button ).

  1. When you have found the right product, put down the quantity in the Count column.
  2. A keyboard opens for entering values.
  3. After entering, do not forget to click OK.

After you have selected and filled in the information for all the products that the customer ordered from you, click the button Next in the upper right corner of the screen.
The final form of the document opens, where you see all the ordered goods and data on them - in what quantity and for what amount the goods were ordered, as well as the total amount of the document.
If you need to send additional information on the application to the office, make it out in the form of a comment by clicking on the button .
You can also offer the client to send a copy of the order to his email address, to do this, click the button Send via E-mail and ask the client to enter the email address.
After checking the data with the client, to save the document, be sure to click the button Save in the upper right corner.

Only after clicking the Save button on the final window of the Order document, all the collected information will be considered saved and ready to be sent to the office at the next data exchange session.
If this is not done, the order will not be saved and sent to the statement, and the next day it may be lost when the full database is received.
Be extremely careful, always save the documents after they are processed, this will help avoid problems with management and customers!

Photo Report

To create a photo report document, select the Photo Report item in the list of operations during a visit to the client.

After opening Photo Report document, you need to take photos, to do this, click on Add Object button.
Choose which object the photo will relate to (if there are none, select No Data).

ST-Mobile Trade camera will open, which has the following form:

To take a photo:

  1. Select the object of photographing
  2. Click on the blue circle button to take a photo.
  3. Click on Done to exit the camera.

From the camera, you can take several photos for a photo report, if necessary, choosing an object for photographing for each photo.
After all the photos are taken, click Done.
The photos taken will be added to the Photo Report document.

To add a comment to a document, tap  at the top of the screen and enter the text.
After all the photos are taken and the comment is written, click Done in the upper right corner.

Tasks

Task involves performing an action that is not related to the paperwork.
To create tasks for yourself or your employees, click on the colon  in the route in the upper corner and select New Task.

Creating a task consists of 11 steps, which are described in the example below.
The last step is to click the Create button in the upper right corner.

Reminders

They are also messages that can be written both to yourself and to subordinate employees.
To create a reminder, click the colon  in the upper right corner and select New reminder.

To write and send a reminder, you need:

  1. Write the text of the message.
  2. Select the employees to whom this message will be delivered.
  3. Choose when to display the message:
    • at the beginning of working day,
    • at the beginning of visit,
    • at the end of working day.
  4. Select type of reminder is urgent or not.
    An urgent message will be additionally displayed on the device as a push notification.
  5. Click send.

End of Visit to Customer at Point of Sale

When all the client's work tasks are completed and it is necessary to move to the next outlet, it is necessary to complete the visit that was started earlier.
To do this, click the End Visit button on the operations screen at the point of sale.
Visits to the following clients are carried out by analogy with the actions described above.

It is recommended to finish the visit in an open space, about a minute after leaving the premises of the outlet, but before boarding the car.
This will allow you to accurately determine your current coordinates and correctly display them to the management in the office.

Send collected data to Office

The system is able to send the collected data automatically, without user participation, if the appropriate settings are enabled in the office.
Therefore, we recommend that you always check whether all documents have been sent and do data exchange manually.
In addition to sending the collected data, the exchange updates data on balances and accounts receivable.

To exchange data, open the menu by pressing the button  in the upper-left corner of the screen, and press Start opposite the block Express exchange.
Before closing the menu, make sure that the exchange process was completed successfully - the current date and time appeared, and the number of unsent documents is 0.

Displayed icons in the Express Exchange section:

      -  saved documents,
      -  drafts documents,
      - images (photos).

pay_attention
It is recommended to make Express Data Exchange after completion of each visit to retail outlets.
Before receiving the database, you need to make sure that all documents are saved and transferred, the images are sent - in the Express Exchange block, the numbers 0 are opposite the documents.

End of Working Day

To record the time and location at the end of the day, you need to finish the working day in the program.
This information will be displayed in the management's office.
To do this, click the Stop button in the upper right corner.
Often users try to end the working day without completing the last visit to the outlet, which the program does not allow.

pay_attention
To avoid problems, do not forget to finish the working day, this affects the reporting in the office for management.

After clicking on Stop, a dialog box will open:

  • Finish — record the time and location of the end of the working day.
  • Continue — return to work on the route.

Press Finish.
At this point, the working day is considered completed.

After the end of the working day, be sure to perform an express data exchange.
This guarantees the delivery of information about the end of work to your supervisor.
